Questionnaires
Questionnaires let you collect detailed information from clients before a shoot — wedding details, style preferences, family groupings, corporate brief, and more.
How It Works
- Pick a questionnaire template — your standard set of questions.
- Attach it to a project. That gives it its own link.
- Adjust its Design for this client — cover photo, colour theme, intro and closing message.
- Send to Client, or copy the link and share it yourself.
- The client fills it in and submits.
- Their answers appear on the project's Questionnaires tab.
Questionnaire Templates
Templates define the questions. Manage them at Questionnaires → Templates.
Each template has:

Question Types
Each question field has:
- A label (the question text)
- A type (text, textarea, date, select, checkbox, etc.)
- Whether it's required
- Options (for select/checkbox fields)
Sending to a Project
From the project's Questionnaires tab, or from the Questionnaires page, pick a template and a project. Then click Send to Client, and StudioFlow shows you a confirmation first:

If the questionnaire is in a language the client doesn't read, the dialog says so and the button relabels itself Send anyway. It warns; it never refuses.
Copy the link instead
Under the Send button, Copy the link instead:
No email goes out. We put the link on your clipboard and mark this as sent, so you can share it however you like.
The questionnaire moves to Sent exactly as if you'd emailed it.
A draft questionnaire already has its link, and you can open it to see what the client will see — "Clients can submit once you send it — until then the link opens as a read-only preview."
Sharing the link
A questionnaire has one link and it stays the same for its whole life.
- Copy Link — gives you the link the client already has. Nothing changes, no dialog, nothing is invalidated.
- Issue new link — "This creates a brand-new link and copies it. The link your client already has stops working immediately — so only do this if that link has gone somewhere it shouldn't, and you are going to send the new one yourself."
Neither a second send, nor a reminder, nor Revise & Re-send changes the link. A client who kept the first email can still open it. The only thing that breaks a link is you pressing Issue new link.
After the client submits, Copy Link stays and hands you the same link. Issue new link is gone: a submitted questionnaire gets no fresh link.
If a client can't open a link at all, there's a fallback: Download PDF gives you the questions on paper, which you can email or print.
Designing a Questionnaire
Before sharing with the client, click Design on the questionnaire. The Questionnaire design panel starts from your studio's document design (Settings → Studio setup → Documents → Document design) and lets you change it for this one questionnaire:
- Visual style — the cover photo, colour theme and typography.
- Messages — an Intro message shown at the top and a Closing message shown at the very end, just before the action button.
- Client testimonial, Studio quote and Photo gallery — show or hide each on this questionnaire, or override the studio's version.
Reset to studio default takes the questionnaire back to your studio design.
Client Experience
The client opens the public link in any browser (no login required). They see:
- The cover photo and intro message
- All questions to fill in
- A submit button
The page's buttons and labels appear in the client's own language; the questions themselves are whatever you wrote in the template.
After they submit, the questionnaire becomes Submitted and their answers appear in the project.
Questionnaire Statuses

Revising a Questionnaire
Same pattern as offers and contracts.
Revise & Re-send — sent, not yet submitted
Found a typo, or want to add a question before the client fills it in?
- Click Revise & Re-send.
- The questionnaire is marked not-yet-sent so you can edit the questions and the design.
- Make your edits, then Send to Client again.
The link your client already has keeps working throughout — and shows your edits straight away, so send again as soon as you are happy with it.
No new version is created. Owners, Admins and Crew.
Create new version — already submitted, you need fresh answers
If the client submitted but the shoot has changed:
- Click Create new version.
- A v2 appears as a Draft. The original answers stay in the project's history and the original becomes Superseded.
- Add or remove questions on v2, then send it normally.
Viewing Responses
In the project's Questionnaires tab, click any questionnaire to see the full submitted answers. Responses are stored as structured data — you can see each question with its answer.
Multilingual Templates
Keep a template per language you serve, and pick the matching one when you send. The questions, the summary and the intro are all part of the template, so they're language-specific.
Templates also carry a Type (one of your service types) and a Tone (Formal or Informal). Use the filter pills at the top of the Templates tab to narrow the list.
Previewing a Questionnaire
Click Preview on any questionnaire instance to see a read-only rendered view before sharing the link with the client. Useful for checking that the cover photo, intro message, and questions all look right.
Bulk Delete
On the Questionnaires list, tick one or more rows and a toolbar appears with Delete selected. Only Draft and Sent questionnaires can be deleted this way — a client's Submitted answers are protected. The confirmation offers Undo for a few seconds.
