Tasks

The Tasks section is where the studio's to-dos live. Tasks can be linked to a specific project or standalone, assigned to team members, and organized with types, priorities, and due dates.

Views

The tasks board, with studio and project-linked tasks side by side.

The Tasks page offers four views, switchable with the buttons at the top:

  • Board — Three columns: Open, In Progress, Done.
  • Week — Timeline grid showing tasks by day for the current week.
  • Month — Calendar-style month layout.
  • Year — Full-year search results. Automatically activated when you type 2+ characters in the search box; reverts when you clear the search.

Creating a Task

Click New Task. Fill in:

FieldRequiredNotes
TitleYesShort description of the work
ProjectNoLink to a project (or leave blank for standalone tasks)
Assigned ToNoTeam member responsible
Due DateNoDeadline
PriorityYesLow, Medium, High or Urgent — defaults to Medium
TypesNoColor-coded tags (see Types below)
DescriptionNoDetailed notes, checklist, or context

Task Statuses

Tasks move through three statuses:

Open → In Progress → Done

Open a task and use the status control in the detail panel to jump straight to any of the three.

Subtasks

A task can contain subtasks. Create one from the task detail panel by typing a title into the Add subtask field — that's all the quick-add form asks for. A subtask is a real task underneath, though, so open it afterwards to set its own assignee, due date, priority, or type. Subtasks appear nested under their parent.

Types

Types are color-coded tags that help categorize tasks (e.g. "Editing", "Client Comms", "Admin", "Urgent").

  • Types are studio-wide — they apply across all tasks and projects.
  • Everyone can put a type on a task; creating, renaming and deleting the types themselves is an Owner's or Admin's job, from Tasks → Manage Types.
  • Each type has a name and a color chosen from a preset palette.

Filtering and Sorting

Use the filter controls at the top of the task list to narrow down by:

  • Status — Open, In Progress, Done, or all
  • Assignee — Filter to your tasks or a specific team member's tasks
  • Priority — Show only high-priority items
  • Type — Filter by one or more types

Priorities

PriorityColourWhen to use
LowGreyNice to have
MediumBlueOrdinary work
HighAmberTime-sensitive
UrgentRedNeeds doing now

Project-linked Tasks

Tasks linked to a project also appear in the project's detail page under the Tasks tab. This gives a project-scoped view without leaving the project context.

Standalone Tasks

Tasks with no project assigned appear in the global task list but not in any project's tab. Use these for studio admin work, equipment maintenance, personal reminders, etc.
